Purpose


This article describes the general use of forms within VisualVault.

 Introduction to Forms


VisualVault’s Intelligent Forms (iForms) are used to collect information and data from users. They are designed with interactive elements that will help the user understand and complete the form.

Forms can be submitted by anonymous public users or by authenticated users who are logged into VisualVault. Once data has been saved on a form record, certain users need to be able to access this information. It is equally important that this data cannot be viewed or tampered with by just anyone.

Glossary of Terms


The following definitions need to be understood when working with forms:

  • Form Template - The form template, from the end user's perspective, is simply the blank form they need to fill out. From the administrator's perspective, the form template is the XML file that comprises the interactive elements that prompt users to fill out and submit data. Administrators use the Form Designer to create and edit the details (layout of form fields, buttons, groups, security, etc.) of the form template.
  • Form Record - When a form has been filled in and saved, a form record is generated. It has a unique ID and stores all data submitted by the user. Think of this as the single piece of paper filled out.
  • Form ID - A unique Form ID is assigned to each form record when it is saved for the first time. This Form ID cannot be changed. The Form ID can take on any format configured by the form owner, but a standard naming convention that is often used for Form IDs takes the format: TEMPLATENAME-000001.
  • Form Library - The form library is a location where all form records that a user has access to can be seen. A link to fill in the form is provided next to the form name. This page is useful for system admins, but is often hidden from end users.
  • Form Data Dashboard - A Form Data Dashboard, sometimes referred to as just a Form Dashboard, represents a detailed report of form records or a queue showing a list of form records.
  • Form Designer - The Form Designer is a tool used by system administrators to design dynamic iForms.
