Highlights at a Glance
Document History — every upload, replacement, and access event on a document is tracked and viewable in one place.
Retention Manager Lite — set how long documents are kept, easily review documents prior to purge and let ERM handle the cleanup..
Exception File Review — a dedicated screen for reviewing sync errors. Never lose a document again.
Roles & Permissions — fine-tuned control over what each role can see and do, enforced everywhere in the application.
New Features and Enhancements
See who did what, and when. Document History gives HR staff and auditors a timestamped record of every action taken on a document, directly accessible from the Document Viewer or an employee's Documents tab. Administrators can control who sees that history down to the document type, so sensitive records stay restricted to the right roles.
Retention policies that run themselves. Retention Manager Lite lets administrators set the retention period for various document types. ERM now handles the scheduling, flags documents that are due for deletion, and routes them through a Document Destruction Approval page so nothing gets purged without a human sign-off. A run history keeps a record of what happened and when.
A real fix for misfiled documents. When a document comes in without a matching employee number or document type, it used stay in a pending state. The new Exception File Review page lists every one of these exceptions, lets a reviewer assign the right employee and document type, and automatically files the document once it's corrected. A batch option handles the cleanup when there's a backlog.
Permissions that hold. This release finishes the Roles & Permissions module that's been rolling out over the past few releases. Administrators can now delete roles they created, test exactly what any user can see and do with a new Permissions Test tool, and count on every part of the application — Audits, Employee Search, Documents, and more — actually respecting those settings. New roles start with everything switched off, so nobody gets access by accident.
Why It Matters
Each of these changes points at the same problem: HR data carries risk, and the people managing it need to trust that the system is doing what it says. Document History and the basic retention tools mean there's a clear record of who touched what and confidence that old records don't linger past when they should. The completed Roles & Permissions system means access is enforced, tested, and provably isolated. The smaller fixes to navigation, uploads, and search remove the daily friction that makes a records system feel like a chore to use.
All new features and enhancements are live with this release. If your role involves managing document types, retention schedules, or user permissions, it's worth a look at the new Permissions Test tool and Retention Manager Lite settings, since both give you direct control over things that used to need a support ticket.
