Purpose


This article will provide instructions on how to navigate the main menu and an overview of the different features of the Process Design Studio tool. 

Business Process Stats


When looking for a ready-made report on workflows that were created using the Process Design Studio (VisualVault Version 5 and newer), you will navigate to the Process Design Studio itself. Upon opening the Process Design Studio, you will be brought to the Business Process Stats dashboard:

On this screen, you will find information about the Workflows in Progress and Workflows in Error State. You can use the search bar to narrow down the workflows displayed or click the View icon to see the details of where the workflow is in execution. 

Additional out-of-the-box reports for workflows created in Process Design Studio will be coming in future updates to Version 5.

Business Processes


A Business Process is composed of Workflows, Events, Data Warehouses, Data Views, and/or Analytics.  Each of these items can be organized and grouped in different processes as needed.  

Processes will be listed with the following fields, which can be used as criteria for the display:

  • Process Name
  • Description
  • Created (date of creation)
  • Modified (date last modified)

Above the list of processes, there is a Search box for searching specific Business Processes, an Add New Process (+ New Process) button, and a Delete Process button. 

  • The delete button will only be enabled when there is at least one item selected from the list. 
  • To select a process from the list, click the check box on the left side of each list item. 
  • Additionally, each Process on the list will have an Edit button (depicted by a pencil icon) on the right side, to make modifications to a Process as needed.

 

 Processes will be displayed in lists of 10 items and navigation options will be on the bottom of the page.  

 

Event Source


An Event Source can be triggered by either a document or form in VisualVault. Events can be configured based on the creation, modification, and/or deletion of these documents or forms. Events are then used to perform some action, such as begin a Workflow or complete a Data Warehouse.

 


Events will be listed with the following fields which can be used as criteria for the display: 

  • Event Source Name
  • Description
  • Created (date of creation) 
  • Modified (date last modified)

 


Above the list of processes, there is a Search box for searching specific Event Sources, an Add New Event Source (+ New Event Source) button, and a Delete Event Source button. 

  • The delete button will only be enabled when there is at least one item selected from the list. 
  • To select an Event Source from the list, click the check box on the left side of each list item. 
  • Additionally, each Event Source on the list will have an Edit button (depicted by a pencil icon) on the right side, to make modifications as needed.

  


When an Event Source is actively being used by a Data View, Data Warehouse, or Workflow, the Edit and Delete options are disabled. This is shown by the padlock icon on the left side of the list.

  


Events will be displayed in lists of 10 items and navigation options will be on the bottom of the page. 

 

Data


This tab is divided into Data Views and Data Warehouse.

Data Views


Data Views are pre-established search criteria used to obtain and organize information from Data Tables. Data Views can then be used for workflow rules, analytics and reporting.   

Data Views will be listed with the following fields, which can be used as criteria for the display: 

  • Data View Name, Description
  • Created (date of creation)
  • Modified (date of last modification).  


Above the Data Views list, there is a Search box for searching specific Data Views, an Add NewData View (+ New Data View) button, and a Delete Data Views button. 

  • The delete button will only be enabled when there is at least one item selected from the list. 
  • To select an Event Source from the list, click the check box on the left side of each list item. 
  • Additionally, each Event Source on the list will have an Edit button (depicted by a pencil icon) on the right side, to make modifications as needed.

 

When a Data View is actively being used by another Data View or Workflow, the Edit and Delete options are disabled. This is shown by the padlock icon on the left side of the list.


Data Views will be displayed in lists of 10 items and navigation options will be on the bottom of the page.   

Data Warehouse


Data Warehouse is a tool for storing your data tables. This can be created based on the information collected from Events or by uploading a CSV file.  


Data Warehouse Tables will be listed with the following fields and they can be used as criteria for the display: 

  • Table Name
  • Description
  • Created (date of creation) 
  • Modified (date last modified)   

Above the Table list, there is a Search box for searching specific Tables, an Add New Table (+ New Table) button, and a Delete Table button. 

  • The delete button will only be enabled when there is at least one item selected from the list. 
  • To select a Table from the list, click the check box on the left side of each list item. 
  • Additionally, each Table on the list will have an Edit button (depicted by a pencil icon) on the right side, to make modifications as needed.

 

  • When editing a Data Warehouse Table, the only fields allowed for modification are:
    • Table Name
    • Description
    • Related Business Processes.
  • When a Data Warehouse Table is actively being used by another Data View or Data Model, the Edit and Delete options are disabled. This is shown by the padlock icon on the left side of the list.
  • Data Warehouse Tables will be displayed in lists of 10 items and navigation options will be on the bottom of the page.   

Workflow


A Workflow is a group of tasks that make up a business process in VisualVault. The tasks that make up a workflow can either prompt for user action or be automated based on conditions of an event or field data. 

Workflows will be listed with the following fields which can be used as criteria for the display: 

  • Workflow Name
  • Description
  • Status
  • Created (date of creation)
  • Modified (date of last modification).  

 


Above the Workflow list, there is a Search box for searching specific Workflows, an Add New Workflow (+ New Workflow) button, and a Delete Workflows button. 

  • The delete button will only be enabled when there is at least one item selected from the list. 
  • To select a Workflow from the list, click the check box on the left side of each list item. 
  • Additionally, each Workflow on the list will have an Edit button (depicted by a pencil icon) on the right side, to make modifications as needed.

  


Workflows will be displayed in lists of 10 items and navigation options will be on the bottom of the page.

Analytics


Data Models will allow you to create predictive analytics for specific Data Table fields.

   


Data Models will be listed with the following fields and they can be used as criteria for the display:

  • Name
  • Data Warehouse
  • Predictive Field
  • Description

  

 

Above the list, there is a Search box for searching specific Models, an Add New Model (+ New Model) button, and a Delete Model button. 

  • The delete button will only be enabled when there is at least one item selected from the list. 
  • To select a Model from the list, click the check box on the left side of each list item. 
  • Additionally, each Model on the list will have an Edit button (depicted by a pencil icon) on the right side, to make modifications as needed.
