Purpose
This article will outline the menu available to users when hovering over their user ID in the upper right-hand corner of VisualVault.
Hover Menu Options
The below sections will outline the use of each of the available menu options:
- Searches
- Training
- Open Forms
- Email Alerts
- My Preferences
- Control Panel
- Central Admin
- Logout
Searches
This menu option allows you to view Saved Searches.
Any Saved Searches that the user themselves created or Saved Searches that other users have shared with them will appear in this list.
- The user must also have access to the folder where the documents are located, otherwise selecting the search will bring up an Advanced Search with no results.
- Additionally, users will not be able to delete a Saved Search unless they are an Owner to it.
The listed columns are:
- Search Title
- Security
- Created By
- Created Date
- Modified By
- Modified Date
Training
This menu option allows users to view your assigned training for documents.
Users will see the following columns:
- Doc ID
- Description
- Rev
- Status
- Approval Route
- An Unnamed Column that Shows Workflow Status
Open Forms
This menu option allows users to view their open forms.
When navigating to the list of open forms, they are organized by form template name.
- If the arrow is used, the page will expand to show a list of open forms for that template.
- Visible Columns are:
- Form Name
- Form Data (View/Edit)
- Unnamed Workflow Status Column
- Percent Complete (Workflow)
- Modified By
- Last Modified
Email Alerts
This menu option takes users to the Email Alerts tab of the Control Panel.
What is visible depends on whether or not the user is a VaultAccess Administrator or an End User.
VaultAccess Administrator View:
Non Administrator (End User) View:
Selecting the following options will allow users to see Folders/Projects/Documents they have access to and allows for subscription to specific events:
- Folder Alerts
- Document Alerts
- Project Alerts
Subscribing to events will email the user when the subscribed event has occurred.
My Preferences
This menu option takes users to their personal preferences.

Control Panel
This menu option takes users to the Control Panel.
What is visible depends on whether or not the user is a VaultAccess Administrator or an End User.
VaultAccess Administrator View:
Non Administrator (End User) View:
Central Admin
This menu option is only available to users with Configuration Administration access.
This area of VisualVault allows for Configuration Administrators to access back-end areas of VisualVault.
