Purpose


The following matrix depicts the functionality available to each role in VisualVault for documents. Note that the "Contributor" is not a role at this time, but is planned for the future.

Security Role Definitions


  • VaultAccess is a user group that has full security clearance in VisualVault. Users in this group do not need to be given folder-level permissions and can access all folders in an environment.

The following roles are assigned at the folder-level. For more information on how these roles are assigned, see Document Security.

  • Owners are any user or group of users that has been assigned Owner permission to a Folder. This role allows for higher levels of management to the folder and the documents contained in the folder. Owners are given all permissions available to Editors and Viewers.

  • Editors are any user or group of users that has been assigned Editor permission to a Folder. This role allows for document editing permissions. Editors are given all permissions available to Viewers.

  • Viewers are any user or group of users that has been assigned Viewer permission to a Folder. Viewers can view folders they have been assigned to and the document contained in those folders.

  • Public users are users that are not logged into VisualVault.

    • Public users can download documents when permissions are given to “Public”. Public users open these documents using a link sent to them via email, or from a link on a web page.

For folder-level access, the security permission only extends to the folder they have been assigned a role to. A user without VaultAccess can be given different permissions on different folders. For example, user John Doe can have Owner permission to the Folder A, Viewer permission to Folder B, and Editor permission to Folder C, so the actions he can take on each document will vary based on the folder it is contained in.
