Editing page content

You can edit page content for your documents within VisualVault, using the Document Viewer. Open the Document Viewer from the Document Library, or any document list in VisualVault.

Note: The tools you have available in the Document Viewer may vary. Please check with your organization administrator if you are missing something that you expected to see.

Annotating content

Edit your page content with annotation tools, found on the toolbar header within the Annotate tab. You can click on a tool icon to switch to it.

Icon	Type	Description
	Highlight	Annotations that highlight text a certain color. Similar to using a highlighter pen on a printed page.
	Underline	Annotations that underline text.
	Strikeout	Annotations that strikeout text.
	Squiggly	Annotations that underline text with a squiggly line.
	Free Hand	Annotations drawn with one or more paths of points. Each path represents a stroke of the annotation.
	Free Hand Highlight	Annotations drawn with one or more paths of points. Each path represents a stroke of the annotation.
	Free Text	FreeText annotations allow users to write text onto the page.
	Insert Text	Annotations that are typically used mark text for some changes. Common use cases may include marking areas where text changes are necessary or perhaps there should be missing words/sentences to include.
	Replace Text	Annotations that strikeout text and allow you to write a comment connected to that text.
	Note	Annotations that are positioned to leave a comment on an area of a document. Also known as comments.
	Callout	Callout annotations are FreeText plus an arrow pointing to something on the page that is meant to be referenced.

Note: If you have annotated your document, click the Save icon to save your changes. Annotations do not autosave.

Edit your page content with insert tools, found on the toolbar header within the Insert tab. You can click on a tool icon to switch to it.

Note: If you have inserted stamps or attachments into your document, click the Save icon to save your changes.

FAQ

Do annotations automatically save as I make changes?

No. Annotations and inserted content do not autosave. Be sure to click the Save icon after making changes to preserve your work.

Why don't I see all of the annotation or insert tools shown in this article?

Available tools can vary by organization and user permissions. If a tool is missing, contact your organization administrator to confirm whether it has been enabled for your account.

Can I use annotations to collaborate with other users?

Yes. Annotation tools such as Notes, Callouts, Highlight, and Replace Text are commonly used during document review, approval, and collaboration workflows to communicate suggested changes and feedback.

Why can't I edit or move an annotation I just created?

Make sure you've switched from the annotation tool back to the selection tool. Some tools remain active until another tool is selected, making it difficult to interact with existing annotations.

My stamp won't stop moving when I click on the page. How do I deselect it?

If clicking outside the stamp does not deselect it, press the space bar and then try selecting another tool.

I used Replace Text, but the original text wasn't actually changed.

The Replace Text tool creates an annotation suggesting a change. It does not modify the document's underlying content.

I used Insert Text, but the document text did not update.

Insert Text adds a markup indicating where text should be added. It does not directly edit the document content.
