For HR professionals: Exception File Review

Prev Next

The Exception File Review page lists documents from employee file imports which could not be automatically matched to an employee or document type. At this stage, you can review files to correct missing values and move corrected documents into the appropriate employee folder.

Key capabilities

  • View a list of documents still missing data or needing correction

  • View a list of documents already corrected

  • Review and correct a document

  • Move documents into an employee folder

Quickstart Guide

How do I see a list of documents still missing data or needing fixes?

  1. Open the Exception File Review page from the left navigation menu.

  2. From the filter dropdown, choose the Exceptions view to see documents still missing data.

How do I review and correct a document?

  1. In the Exceptions view, use the Search to find a document in the grid. Enter the Employee Number, Document Type, Document ID, or File Name.

  2. Use the Document View action to open the file in the document viewer. This is helpful when the file name or existing metadata is not enough to identify the correct employee or document type.

  3. From the grid, make changes as applicable to correct a document:

    1. Enter or select the Employee Number using the text field or the Employee picker icon

    2. Choose a Document Type from the searchable dropdown list.

    3. Choose a Sub Folder from the dropdown list, to move the document into the appropriate employee folder.

  4. Click Save Changes.

Once all fields are populated and saved, the document is automatically moved into the correct employee folder (or subfolder, if configured).

Note: Edits are staged until you click the Save Changes button. No changes are auto-saved. Do not leave the page with unsaved edits. Click Save Changes after correcting Employee Number, Document Type, or Sub Folder values.

How do I see a list of documents already corrected?

  1. Open the Exception File Review page from the left navigation menu.

  2. From the filter dropdown, choose the Corrected view to see documents already corrected.

How do I move documents into an employee folder?

  1. In the Corrected view, check the checkbox of multiple rows of documents.

  2. Click the Associate with Employee button.

  3. Confirm the action “Associate with Employee” when prompted.

This action will move the document(s) to the employee folders.

Troubleshooting: If a selected row has unsaved edits, save those changes first. This “Associate with Employee” action is blocked with a warning if any selected row still has unsaved edits.

What happens when I move documents into an employee folder?

After a file has the required Employee Number and Document Type values, ERM attempts to move it into the matching employee folder automatically. If subfolders are configured, the selected Sub Folder is used for the move.

A Retry Move button appears in the Corrected view when a corrected document has not moved successfully. Click it to retry the move for that document. Once a document is successfully moved, the Employee Number, Document Type, and Sub Folder controls are disabled for that row so the completed association is not accidentally changed.

Documents which have been moved will show a Moved date instead of an action button in the last column of the grid in the Corrected view.
