Role and Permissions is where administrators manage roles, grant or remove permissions, assign users to roles, configure resource access, and organize departments.


Add a user to ERM

  1. In VisualVault, create a user.

  2. In ERM - Roles and Permissions, go to the User Assignments tab. Click Sync Users.

  3. Select from the list, and click Add Users.

Note: First, Administrators must Add Users to the VisualVault site, via the Control Panel. Then, Administrators may Sync Users to the ERM app.


View, add, or modify the roles assigned to a user

  1. In ERM - Roles and Permissions, go to the User Assignments tab.

  2. Locate the user using the search field or pagination controls.

  3. Click Manage Roles to open the User Roles modal.

  4. Add or remove roles as needed.

Note: Changes to user role assignments impact the user's effective permissions and changes take effect immediately.


Frequently Asked Questions

A user says they cannot see a module in the left navigation panel. What should I check?

Go to Settings > Roles and Permissions and confirm the user is assigned a role that has the relevant module toggled on in Module Access. If the module is disabled for their role, it will not appear in the navigation panel regardless of their resource-level permissions.

A user has the correct resource permissions but still cannot access a resource. Why?

Confirm that the module containing that resource is enabled in Module Access for the user's role. A disabled module blocks all underlying resource permissions at runtime, even if the resource-level checkboxes are selected.

What should I do if I have a problem with ERM?

If you are unable to log in to ERM or if you encounter a problem with one of the modules in ERM, please submit a ticket in our Support Portal.
